Guest Acceptable Use Policy
Last updated: 24 March 2026
1. About the Guest Portal
CheckinGuide provides technology services to short-term rental hosts ("Hosts"). As a guest, you may interact with our platform through various guest-facing portals, including:
- Digital guest guidebooks with check-in instructions and property information
- Guest verification services (identity checks, security deposits, rental agreements)
- Pre-arrival upsell portals (early check-in, welcome hampers, and other add-ons)
- AI concierge services for property-related questions
Important: CheckinGuide acts as a technology service provider. Your booking and stay are governed by your host's terms and policies, not by CheckinGuide. Any questions or issues regarding your accommodation should be directed to your host.
2. Acceptable Use
When using CheckinGuide's guest portals, you agree to:
- Provide accurate and truthful information when completing forms or verification steps
- Upload genuine identification documents when requested by your host
- Read and understand any rental agreements before signing them
- Use the platform for its intended purpose in connection with your accommodation booking
- Treat the AI concierge and all automated systems with good faith
- Complete requested verification steps in a timely manner
3. Prohibited Use
You must not:
- Submit fraudulent identification: Upload fake, altered, or someone else's identity documents
- Provide false information: Misrepresent your identity, the number of guests, or any other material information
- Harass or abuse: Use any messaging or communication features to harass, threaten, or abuse hosts or other users
- Circumvent security: Attempt to bypass, disable, or interfere with any security features, verification checks, or access controls
- Misuse data: Collect, store, or share personal information about hosts or other guests obtained through the platform
- Commercial misuse: Use the platform for any commercial purpose unrelated to your accommodation booking
- Illegal activity: Use the platform in connection with any unlawful activity
- Automated access: Use bots, scrapers, or automated tools to access or interact with the platform
4. Identity Verification and Data
When your host requires identity verification as part of their check-in process:
- Why it's required: Your host may require ID verification for security purposes, insurance compliance, or local regulatory requirements. CheckinGuide facilitates this process on behalf of your host.
- Data handling: Identity documents are processed securely using encrypted storage. Documents are retained for a limited period (typically 90 days after checkout) and then permanently deleted, unless a longer retention period is required by law or an active dispute.
- AI processing: If enabled by your host, your ID documents may be processed by AI systems to verify that the name on your ID matches your booking details and to perform a facial comparison with your selfie. This processing is automated and the results are shared only with your host.
- Your consent: By uploading your ID documents and selfie, you consent to this processing. If you do not wish to provide identification, please contact your host directly to discuss alternative arrangements.
5. Security Deposits and Payments
- Payment processing: All payment processing is handled securely by Stripe. CheckinGuide does not store your full card details.
- Security deposits: If your host requires a security deposit, your card may be authorised (not charged) for a specified amount. This authorisation is released after checkout unless a damage claim is filed by your host.
- Damage waivers: If offered by your host, you may opt to purchase a damage waiver instead of providing a traditional security deposit. Damage waiver terms, including coverage limits, are displayed at the time of purchase.
- Upsell purchases: Pre-arrival add-ons purchased through the portal are non-refundable unless otherwise stated by your host. Fulfilment of purchased add-ons is the responsibility of your host, not CheckinGuide.
6. Limitation of Liability
CheckinGuide provides a technology platform that facilitates communication and transactions between hosts and guests. We are not a party to any booking, rental agreement, or accommodation arrangement.
- CheckinGuide is not responsible for the accuracy of information provided by hosts in their guidebooks
- CheckinGuide is not responsible for the fulfilment of upsell products or services purchased through the portal
- CheckinGuide is not responsible for the condition, safety, or legality of any accommodation
- Any disputes regarding your stay, deposit, or purchased add-ons should be directed to your host
To the maximum extent permitted by applicable law, CheckinGuide shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising out of or relating to your use of the guest portals.
7. Rental Agreements
If your host requires a rental agreement to be signed before check-in:
- The rental agreement is between you and your host. CheckinGuide merely facilitates the electronic signing process.
- Your electronic signature is legally binding in most jurisdictions worldwide.
- A copy of the signed agreement is available to both you and your host.
- CheckinGuide does not provide legal advice regarding the terms of any rental agreement. If you have concerns about the terms, please consult a legal professional before signing.
8. Changes to This Policy
We may update this Guest Acceptable Use Policy from time to time. Material changes will be reflected by updating the "Last updated" date at the top of this page. Your continued use of our guest portals after any changes constitutes acceptance of the updated policy.
